Deal Automation/Process

Form Submission 

Automation: [LANDSCAPING] Form Submission/Deal Creation

If the form is submitted, a new contact will be created for the person of interest, a new deal will be created, and an alert will be sent to Britney and she will be assigned the initial deal owner. 

New

Automation: [LANDSCAPING] 01 Deal Stage is New

  • A task is created and assigned to the Deal Owner: Enter details for new landscaping deal
    • Enter all relevant details in the deal record using the Landscaping properties in the left side panel. Create lead contact record deal is manually created. Those submitted through the form will automatically create and associate the contact record.

  • Incoming Call Script
    • 1. What are you interested in having done? (as many details as you can) a. Grass- will call back with estimate b. Landscaping Project- schedule estimate with Justin in asana
    • 2. What is your address? We try to stay local. West Chester, Delco, etc.
    • 3. Would you like to be there for the estimate?
    • 4. What time frame are you looking to have this done in?
    • 5. What is your budget?
    • 6. Do you have a current landscaper now?
    • 7. How did you hear about us? 

Attempting to Contact

Automation: [LANDSCAPING] 02 Deal Stage is Attempting to Contact

  • A task is created and assigned to the deal owner: Call Lead for full work details
  • A task is created and assigned to the deal owner: Schedule estimate
  • Delay 1 Day
  • Attempting to Contact Drip 1 email is sent to the client
  • Delay 2 days
  • Attempting to Contact Drip 2 email is sent to the client
  • Delay 2 days
  • A task is created and assigned to the deal owner: Final follow up call
  • Move deal to closed/lost if no contact is made

On-Site Scheduled

Automation: [LANDSCAPING] 03 Deal Stage is On-Site Scheduled

  • The deal owner will update to Drew McLaughlin
  • A task is created and assigned to the deal owner: New Work Order
    • Call prospect

    • Schedule and place on calendar
    • Scope work
    • Share bid and update to the next deal stage
  • After the date and time of the appointment have been entered, and the date is 3 days away, a Reminder Quote Scheduled email will be sent to the client
  • On the day of work, another Reminder Quote Scheduled email will be sent to the client 

Waiting on Quote Approval 

Automation: [LANDSCAPING] 05 Deal Stage is Waiting on Quote Approval

  • A task is created and assigned to the deal owner: Create Quickbooks Quote from deal
  • A task is created and assigned to the deal owner: Update deal amount to Quote total
  • Delay 2 days
  • Waiting on Quote Approval drip 1 email is sent to the client
  • Delay 5 days
  • Waiting on Quote Approval drip 2 email is sent to the client
  • A task is created and assigned to Follow up regarding Quote sent
  • Estimate follow-ups Script
    • 1. Did you receive the estimate that was sent to you on (date) a. If no- verify email b. If Yes next question
    • 2. Do you have any questions about the estimate?
    • 3. What are your thoughts on pricing? a. Do they think they are high? Send to Britney for review
    • 4. What can we do to help you decide on the bid? If approved, ask them to respond via email to the estimate. Send follow up email on conversation had. 
  • Delay 2 days
  • A task is created and assigned to Follow up regarding Quote sent
  • If no contact made, move deal to closed/lost

Approved/ Schedule Work

Automation: [LANDSCAPING] 06 Deal Stage is Approved/ Schedule Work

  • A task is created and assigned to the deal owner: Quote Approved- Call client to schedule work
    • After scheduling, enter date and time of appointment into deal fields under Landscaping side panel
  • After the date and time of the appointment have been entered, and the date is 3 days away, a Reminder Work Scheduled email will be sent to the client
  • On the day of work, another Reminder Work Scheduled email will be sent to the client 

Working

Automation: [LANDSCAPING] 08 Deal is Working

  • A task is created and assigned to the deal owner: Mark when Job Complete
    • Marking this Task as Complete will update the deal stage to Billing

Billing

Automation: [LANDSCAPING] 09 Deal is Billing

  • A task is created and assigned to Britney: Complete billing
    • Marking this Task as Complete will update the deal stage to Closed Won

Closed Won

Automation: [LANDSCAPING] 10 Deal is Closed/Won

  • The deal will automatically update to Closed/Won 2 days after the Date of appointment
  • A task is created and assigned to the deal owner: Follow up on completed work 
  • Follow up calls after project is complete script
    • 1. How would you rate your overall experience with us?
    • 2. How convenient was it to get in touch with us?
    • 3. How would you rate our crew that completed the job?
    • 4. How would you rate our prices compared to others?
    • 5. How likely are you to refer us to family and friends.
    • 6. Is there anything we can do to improve our services?
  • A Review Request email is sent to the client 

Closed Lost

Automation: 

  • If a deal is lost, a required field for Closed Lost reason will pop-up once the deal is moved to this stage
